Executive Assistant will work directly with the Executive and leadership team to provide administrative support in a fast-paced sales and marketing environment to enable and further their daily activities in achieving the department’s objectives and mission.  Administrative duties include: Phones, Department records & reports; Travel, meeting, conference logistics & arrangements; Correspondence & inquiry screening, processing & distribution; Office supplies & equipment maintenance.  
 
The ideal candidate is highly self-motivated, professional, well-organized, detail oriented and capable of managing their work load and prioritizing tasks in a fast-paced corporate environment.
Responsibilities: 
  • Collect, distribute, collate & summarize information from staff.
  • Maintain appointment calendar & ensures personnel, data & materials are available for Executive and leadership team.
  • Document meeting minutes as required.
  • Screen, annotate, redirect, respond, & distribute inquiries & correspondence within established guidelines & judgment.
  • Maintain records & reports. 
  • Arrange travel & lodging required.
  • Arrange logistics for meetings and conferences as required that includes venue reservation, A/V requirements, security, refreshments & dining, & lodging.
  • Track budgets.  Process check-requests and expense reports.
  • Maintain office supplies & office machine operation.
  • Compose, transcribe, edit, proof, & process reports, correspondence, presentations, graphs, charts, etc. as required.
  • Maintains a strict level of confidentiality.

Qualifications:

  •  Six (6) or more years of administrative assistant experience in a large corporate setting.
  • Extensive experience with executive office protocol, confidentiality, business decorum, procedures & processes. 

  • Extensive experience with Administrative Assistance functions that includes: Department records & reports; Travel, meeting, & conference logistics & arrangements; Correspondence & inquiry screening, processing & distribution; Office supplies & equipment maintenance. 

  • Advanced proficiency in Microsoft Office (Word, Excel, and PowerPoint), inquiry/database/reporting, electronic mail, & other computer-based modules such as internet travel arrangement systems.

  • Multi-tasking abilities; flexible and quickly adapts to change

  • Ability to grasp assignments quickly and work independently

  • Strong effective written and verbal communication skills

  • Experience with handling extremely busy telephone line; directing incoming calls; setting up conference/video calls

  • Demonstrated experience with handling highly confidential reports, letters and memoranda

  • Organized and detail oriented
  • Experience working in a health insurance carrier environment is a plus
